RGB vs. CMYK for print: what businesses should actually send

Choose a color workflow based on the printer, product, and proof instead of converting every file to CMYK or trusting screen color.

RGB describes color made with screen light. CMYK describes a common ink model used in print. That difference matters, but the rule “always convert to CMYK” is too simple for modern production. Some print-on-demand systems request sRGB files and perform their own managed conversion, while commercial workflows may require a named CMYK output condition.

The safest file follows the receiving printer's instructions, preserves the original, and uses a proof to judge the final material and device. Color management is a production chain, not a single menu command.

Why bright screen colors can shift

A monitor emits light and can display vivid colors that a particular ink, toner, substrate, or press cannot reproduce. Saturated blues, greens, and neon-like colors are common trouble areas. Conversion maps those source colors into the destination gamut, and different profiles or rendering intents can map them differently.

The solution is not to promise a perfect match. Identify brand-critical colors, use the printer's supported profile or spot-color process when applicable, and request a proof. Material color, coating, lighting, and ink behavior all influence the physical result.

Let one part of the workflow manage conversion

Double color management can create unexpected output. If an application converts colors and a driver performs another unmanaged conversion, the result may drift. Adobe's guidance distinguishes letting the application manage color from letting the printer manage it and emphasizes using an accurate output profile.

For uploaded production, follow the provider's requested space. Keep the source profile embedded when the format supports it. If the provider accepts RGB and converts internally, an arbitrary CMYK conversion can reduce color before their system even sees the file.

Review the output, not just the label

A file can be tagged CMYK and still contain weak blacks, excessive ink, unconverted images, spot colors, or transparency interactions. A preflight should inspect objects and output intent rather than trusting the document label alone.

For repeat work, record the approved profile, printer, substrate, and proof. That history is operationally useful: it tells the next operator which conversion was accepted and prevents every reorder from restarting the color conversation.

Build a handoff the next person can verify

A production-ready handoff should contain one clearly named current file, the finished dimensions, the expected bleed, and a short record of what was checked. If a warning remains, describe the decision instead of hiding it. For example: the customer accepted 170 effective PPI because the banner will be viewed from across a room. That note is more useful than a folder containing five unexplained exports.

Keep the editable source separate from the approved output. The source is where future changes belong; the approved PDF, PNG, TIFF, SVG, or machine file is the artifact that moves into production. When a revision arrives, create a new version and preserve the approval trail. This small discipline prevents an old attachment, an unapproved crop, or a mystery color conversion from becoming the file that gets printed. It also gives estimating, customer service, prepress, and production the same answer when a job returns.
